Job Description:

Washington Behavioral Medicine Associates (WBMA) seeks a compassionate and dedicated Medical Assistant to join our team full-time. This role offers a unique opportunity to significantly impact patients’ lives by assisting in the delivery of innovative treatment modalities. You will play a vital role in supporting our Brain Modulation Services, which include Transcranial Magnetic Stimulation (TMS), qEEG, Neurofeedback, Virtual Reality (VR), and Spravato (esketamine) onsite in Chevy Chase, Maryland. Primary responsibilities include, but are not limited to:

  • Complete office administrative tasks, including marketing, screening new patient inquiries, scheduling, obtaining pre-authorizations, and handling medical records.
  • Serve as a backup provider for TMS Therapy (training provided).
  • Oversee patients during treatments, ensuring their safety and comfort.
  • Administer qEEG-guided neurofeedback brain training and neurostimulation.
  • Perform EEG acquisition and assessments for treatment planning.
  • Implement and monitor Neurofeedback training plans.
  • Coordinate and schedule patient appointments, ensuring efficient session management.
  • Record patient vitals per esketamine protocol and fully document the encounter.
  • Provide and collect Spravato® Informed Consent forms before the induction of any esketamine therapy.
  • Submit REMS Monitoring forms following each esketamine therapy.
  • Administer rating scales to benchmark treatment progress and ensure continuity of care.
  • Deliver exceptional patient care consistently, demonstrating empathy, building trust, employing reflective listening, and supporting a vulnerable patient population.
  • Document and monitor all treatment session notes and relevant information in the Electronic Health Record (AthenaHealth), collaborating effectively with other team members.
  • Maintain a working knowledge of general insurance and billing procedures to support related workflows.
  • Obtain prior authorization for TMS and esketamine therapy.
  • Obtain medication prior authorization, ensuring seamless access to prescribed treatments.
  • Perform other duties as assigned.

Requirements:

  • A highly motivated individual with a strong work ethic and unwavering integrity.

  • Able to interact courteously with patients and staff.
  • Physically capable of standing for extended periods.
  • Proficient in general computer skills, including Microsoft Office (Word, Excel, PowerPoint) and Google G Suite.
  • Basic knowledge of health insurance pre-authorization processes is a plus.
  • Experience in medical office administration is advantageous.

Working In-Person Hours:

Our hours of operation are from 8:00 AM to 6:00 PM, with some flexibility depending on patient needs.

Compensation:

Salary ranges from $17-$22 per hour, depending on education, certifications, and work experience.
